We are seeking a HubSpot Lead Lifecycle & CRM Analyst to audit, analyze, and optimize how leads move through our HubSpot system. This role is responsible for ensuring that every lead is properly tracked, followed up, documented, and dispositioned according to firm procedures.


The primary objective is to ensure that every lead we generate or purchase is handled correctly, fully documented, and tracked from source through outcome, allowing leadership to measure the true ROI of each lead source.

This position plays a critical role in improving lead conversion, accountability, and marketing performance.

HubSpot Lead Journey Auditing

  • Audit and monitor the complete lifecycle of each lead from source to final disposition.
  • Ensure leads are assigned, followed up on, and managed according to firm procedures.
  • Identify breakdowns in the intake or follow-up process and recommend improvements.

Lead Source & ROI Tracking

  • Track lead sources, lead quality, and conversion outcomes within HubSpot.
  • Analyze marketing channel performance and ensure accurate attribution.
  • Develop reporting that shows ROI by lead source and conversion performance.

CRM Compliance & Process Monitoring

  • Ensure all leads contain proper notes, documentation, and follow-up tasks.
  • Monitor that no lead goes without a next task or follow-up action.
  • Confirm that leads not retained are properly dispositioned with accurate reasons.

HubSpot System Optimization

  • Improve HubSpot workflows to ensure leads move through the system correctly.
  • Recommend automation improvements that increase response time and follow-up consistency.
  • Maintain data integrity and clean CRM records.

Reporting & Insights

  • Build dashboards and reports for leadership showing:
  • Lead source performance.
  • Conversion rates.
  • Intake follow-up compliance.
  • Cost per retained client.
  • ROI by marketing channel.
  • 3+ years of experience working with HubSpot CRM or similar CRM systems.
  • Strong experience with lead lifecycle analysis and reporting.
  • Experience auditing CRM pipelines and improving sales or intake processes.
  • Strong analytical and data interpretation skills.
  • High attention to detail and strong documentation discipline.
