This is a remote position.

Our client, a European leader in the fertility sector, is rolling out a comprehensive digital suite—including CRM, EMR, mobile applications and a data platform—to harmonize operations across IVF clinics in multiple European countries.

As part of this transformation, we are looking for an experienced Project Manager to lead the implementation of EMR solutions and integrations with national eHealth infrastructure, initially across Finland, with potential expansion into Sweden and Estonia.

This is a pure project management role. You will coordinate activities between local clinics, the central digital team, WaWa, EMR vendors and third-party partners responsible for national eHealth integrations. Your focus will be on planning, coordination, stakeholder management, risk management and successful go-live delivery rather than hands-on technical implementation.

What You’ll Do

  • Lead and coordinate EMR implementation projects across fertility clinics in Finland, with potential future rollouts in Sweden and Estonia.
  • Coordinate integrations between the EMR platform and national eHealth systems and services.
  • Act as the central point of coordination between clinics, WaWa, EMR vendors, third-party integration partners and the central digital team.
  • Develop and maintain detailed project plans, timelines, milestones, dependencies and delivery schedules.
  • Ensure all parties understand their responsibilities, deadlines and dependencies throughout the implementation lifecycle.
  • Coordinate technical activities including system integrations, data migration, testing, validation and go-live preparation, working closely with technical specialists and vendors.
  • Organize and facilitate project meetings, workshops, status reviews and steering discussions.
  • Coordinate clinic readiness activities before implementation and go-live.
  • Ensure that vendor-led training activities are planned, scheduled and completed successfully; training delivery itself remains the responsibility of the vendor.
  • Build strong relationships with clinic managers, doctors, operational teams and local stakeholders.
  • Identify project risks, issues and dependencies early and drive them toward resolution.
  • Manage escalations across vendors, clinics and internal stakeholders when required.
  • Maintain clear project documentation, action logs, RAID logs, decisions and project status reporting.
  • Monitor implementation progress and ensure projects remain within agreed scope, timelines and quality expectations.
  • Provide regular project updates to senior management and key stakeholders.
  • Support coordination with local stakeholders to ensure compliance with healthcare regulations, GDPR and national eHealth requirements.
  • Travel to clinics across the Nordic region when required for key implementation phases and go-lives.

Requirements

  • 5+ years of experience in Project Management, preferably within healthcare, MedTech, pharma, healthcare IT or another regulated environment.
  • Proven experience managing IT system implementations, digital transformation or software rollout projects.
  • Previous exposure to EMR/EHR, healthcare information systems, clinical systems or healthcare integrations is strongly preferred.
  • Experience coordinating projects involving multiple vendors, integration partners and business stakeholders.
  • Understanding of system integration projects, including coordination of APIs, interfaces, data migration, testing and deployment activities.
  • Strong project planning, organization, risk management and stakeholder-management skills.
  • Ability to bring structure to complex projects involving multiple dependencies and organizations.
  • Excellent communication skills and confidence working with senior stakeholders, vendors, clinicians and operational teams.
  • Native or fluent Finnish with strong English proficiency.
  • Experience working with Finnish healthcare organizations or the Finnish eHealth ecosystem would be a strong advantage.
  • Knowledge of Swedish or Estonian healthcare environments is an advantage.
  • Comfortable working independently in a remote-first, international environment.
  • Willing and able to travel to clinics across Finland, Sweden and Estonia when required.
  • Experience with Agile methodologies such as Scrum, Kanban or SAFe is beneficial but not essential.

Benefits

  • Freelance / B2B engagement
  • Part-time: approximately 20–30 hours per week
  • Initial duration: at least 12 months
  • Primarily remote with travel to clinics when required
  • Initial focus on Finland, with potential expansion into Sweden and Estonia
