Title: T-CPT-11247 GoHighLevel CRM & Automation Administrator

Independent Contractor – Technical VA/Senior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

We are seeking a proactive, highly organized, and technically skilled Executive Assistant who can support executive operations while owning the organization's automation and CRM infrastructure. The successful candidate will work closely with leadership to manage executive scheduling, client operations, CRM administration, automation development, and system integrations. This individual should be capable of independently building, maintaining, and improving operational systems that increase efficiency and improve the overall client experience.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Executive & Client Operations

  • Manage executive calendars and scheduling.
  • Coordinate appointments through Acuity Scheduling.
  • Audit calendars and prevent scheduling conflicts.
  • Schedule recurring meetings and client sessions.
  • Respond professionally to client inquiries.
  • Coordinate payment corrections through Stripe.
  • Maintain accurate client records and documentation.
  • Ensure key stakeholders are included in client communications.
  • Resolve minor administrative and technical issues as they arise.

GoHighLevel Administration & Marketing Operations

Serve as the primary administrator for the organization's GoHighLevel platform. Responsibilities include:

  • Build and maintain marketing funnels.
  • Create landing pages.
  • Design and optimize automation workflows.
  • Build drip campaigns and customer journeys.
  • Create and maintain email templates.
  • Build newsletters and promotional campaigns.
  • Configure subscription products.
  • Create internal forms.
  • Manage CRM pipelines.
  • Build Smart Lists.
  • Implement tagging and segmentation strategies.
  • Audit CRM data for accuracy and consistency.
  • Monitor automation performance and troubleshoot workflow issues.

Technical Integrations & System Maintenance

• Maintain and optimize the organization's technical ecosystem. Responsibilities include:

  • Configure advanced Jotform forms with conditional logic.
  • Integrate Jotform with GoHighLevel.
  • Test lead routing and automation accuracy.
  • Audit WordPress forms and website functionality.
  • Troubleshoot GoDaddy hosting and DNS issues.
  • Monitor website uptime and system health.
  • Verify email and notification delivery.
  • Maintain CRM integrity across all connected platforms.
  • Troubleshoot system integrations and workflow failures.

Social Media Operations Support

• Provide operational support for marketing activities until a dedicated Marketing VA is hired. Responsibilities include:

  • Schedule approved social media posts.
  • Publish client-approved content.
  • Coordinate event announcements.
  • Track podcast publishing schedules.
  • Coordinate with future marketing team members to ensure smooth handoff.

This role does not require graphic design, copywriting, or creative content production.



    Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.


    Skills

    The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

    REQUIRED QUALIFICATIONS

    • Minimum 3 years of hands-on GoHighLevel experience.
    • Proven experience building advanced automation workflows.
    • Experience developing funnels and landing pages.
    • Strong CRM administration and segmentation skills.
    • Workflow troubleshooting and optimization experience.
    • Experience integrating Jotform with GoHighLevel.
    • Familiarity with WordPress website management.
    • Experience with GoDaddy hosting and DNS management.
    • Experience using Stripe for payment administration.
    • Experience with Acuity Scheduling.
    • Proficiency with Google Workspace.
    • Experience using Monday.com.
    • Excellent written and verbal English communication skills.
    • Strong organizational and time management skills.
    • Ability to work independently and solve technical problems proactively.

      Work Schedule

      • Contracted Hours per Week: 20 Hours
      • Scheduled Working Days: Monday through Friday (unless otherwise mutually agreed in writing)
      • Daily Working Time: TBD

      Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

      Terms of Engagement

      • Contractors will operate under a Master Services Agreement and a Statement of Work
      • This is not an offer of employment; contractors are not employees of 20four7VA or any client
      • All compensation is processed through 20four7VA according to the terms of the engagement
