About Our Client
Client is looking for a reliable and proactive Healthcare Virtual Assistant to support a growing healthcare practice with patient communication, CRM management, and appointment coordination.
This role is ideal for someone who is comfortable making outbound calls, skilled with CRM tools (especially Go High Level), and confident communicating with patients and leads.
The VA will help ensure that leads are followed up with, patients show up to their appointments, and the CRM system runs efficiently with proper automation and tracking.
Core Responsibilities
Outbound Calls (Top Priority)
- Make follow-up calls to leads and existing patients
- Reach out to patients regarding upcoming appointments
- Maintain consistent communication to increase patient engagement
CRM Management (Go High Level)
- Manage patient and lead data inside Go High Level (GHL)
- Set up and manage CRM automations
- Track leads and appointments inside the system
- Ensure follow-up sequences are properly maintained
Lead Follow-Up & Appointment Reminders
- Send messages to leads and patients
- Confirm upcoming appointments
- Follow up with patients who have booked calls or consultations
Additional Responsibilities
Scheduling & Patient Coordination
- Appointment scheduling and reminders
- Coordinating with healthcare professionals when needed
Patient Communication
- Respond to patient inquiries
- Provide updates or reminders through calls, email, or text
Telehealth & Patient Systems
- Assist with telehealth platform coordination when needed
- Maintain accurate patient records
Administrative Support
- Email management (sorting, prioritizing, responding)
- Sending newsletters or updates when required
- Managing spreadsheets in Google Sheets
Systems & Tools Used
- Go High Level (GHL) – CRM
- Biochem system

RequirementsGo High Level CRM Experience (Required)
- Candidates must already be comfortable using Go High Level, including automation and lead management.
Outbound Calling Skills
- Comfortable making follow-up calls to leads and patients
- Confident speaking on the phone
Sales-Oriented Mindset
- Ability to communicate services effectively
- Comfortable converting leads into booked appointments
Strong Communication Skills
- Clear English speaking ability
- Professional and friendly tone with patients
Customer Service Experience
- Ability to handle patient inquiries with empathy and professionalism
Reliability and Dedication
- Must be dependable and consistent
- Must be able to focus on this role without divided attention
Deal Breakers
- No experience with Go High Level CRM
- Unwilling to make outbound calls
- Poor communication or unclear English
- Divided attention from multiple clients during working hours
Basic requirements
- Must be proficient in speaking and writing English very clearly
- Must have relevant work experience
- Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
- Must be available for video meetings with your camera on (when needed)
