The Role
Our Client is seeking an AI-native CRM Administrator who operates as a core member of the revenue team rather than traditional IT support. This is a high-impact, back-end role responsible for owning the CRM stack end-to-end. The successful candidate will ensure HubSpot is "battle-ready," monitor the pipeline for stale deals, and build advanced automations to eliminate manual work.
This is not a ticket-based admin role; it is a proactive position that requires surfacing gaps, flagging at-risk deals, and using AI—specifically Claude—as a daily productivity layer to help a small team achieve massive results.
Key Responsibilities
HubSpot Administration & Automation
- Builds and maintains complex email sequences, lifecycle automations, and workflows within HubSpot.
- Manages deal pipelines, custom properties, and views while enforcing strict data quality standards.
- Audits CRM data regularly to ensure clean attribution and deduplication of records.
- Develops and maintains dashboards for pipeline health, conversion rates, and outreach activity.
Call Intelligence & Pipeline Hygiene

Reviews call recordings in Gong (or similar) to extract key insights, objections, and next steps.

Logs call summaries and sentiment signals into HubSpot to ensure follow-up hygiene.

Monitors the pipeline daily to identify stale deals, missing next actions, or overdue tasks.

Establishes and maintains SLA frameworks for stage duration and outreach cadences.
AI-Powered Sales Operations
- Uses Claude and other AI tools daily to summarize call notes, draft professional outreach, and generate CRM entries.
- Builds internal prompt libraries to scale CRM best practices across the team.

Collaborates as a "force multiplier" for Account Executives (AEs), pulling deal context and sending reminders to close loops.
Required Qualifications
- Experience: 2+ years of hands-on HubSpot CRM administration (actual backend configuration, not just usage).
- Technical Skills: Proven experience building HubSpot workflows and email automations; familiarity with Gong or similar call intelligence platforms.
- AI-Native Mindset: You must use Claude, ChatGPT, or similar tools as a genuine, daily part of your workflow to improve speed and quality.
- Communication: Exceptional written and verbal English; comfortable working synchronously/asynchronously via Slack and Gmail.
- Detail-Oriented: A very low tolerance for "dirty data" and a track record of maintaining airtight processes.
