Why this role matters:

Jack.org relies on strong data systems to power our fundraising, track program outcomes, and measure the impact of our work supporting youth mental health across Canada. Reporting to the VP, Finance & Administration, the Salesforce Administrator will manage and optimize our Salesforce environment, ensuring it effectively supports donor engagement, grant management, service tracking, and organizational reporting. This role works closely with staff across development, programs, finance, and operations to ensure Salesforce is configured and maintained in a way that strengthens collaboration, improves data quality, and enables better decision-making across the organization.

Key Responsibilities

Salesforce Configuration & Optimization (Nonprofit-Focused)

    • Configure and customize Salesforce, including Nonprofit Success Pack (NPSP), to support fundraising, donor management, grants tracking, program management, and outcome measurement.
    • Create and maintain custom objects, fields, validation rules, flows, and automation aligned with nonprofit best practices.
    • Assess readiness for and support migration to Salesforce Nonprofit Cloud, including planning, implementation, and change management.
    • Ensure system configurations align with evolving organizational goals and compliance requirements.
    • Engage with internal departments to identify scope-of-work for initiatives requiring external Salesforce consulting/advisory support (design, architecture, programming, etc.) and liaise with external Salesforce consulting firms to undertake these initiatives.

Donor & Program Data Management

    • Maintain data integrity for donor, volunteer, supporter, and youth records.
    • Develop data standards and governance practices to ensure accurate reporting and stewardship.
    • Oversee data imports, exports, clean-up efforts, and large-scale data migrations.

User Management & Security

    • Manage user access, roles, profiles, and permission sets to ensure appropriate data visibility and confidentiality.
    • Uphold security best practices, particularly around sensitive donor and client information.

Reporting, Analytics & Impact Measurement

    • Design and maintain reports and dashboards that track fundraising performance, donor retention, grant deliverables, program outcomes, and organizational KPIs.
    • Support leadership with data analysis and visualizations that inform strategic decisions and demonstrate mission impact.
    • Connect Salesforce data to tools such as Alchemer surveying tool and EMMA

Collaboration & Process Improvement

    • Work cross-functionally with development, programs, finance, and operations teams to gather requirements and improve workflows.
    • Translate business needs into scalable Salesforce solutions that increase efficiency and reduce manual processes.
    • Promote user adoption and continuous improvement across the organization.

System Maintenance & Support

    • Troubleshoot and resolve Salesforce system issues in a timely manner.
    • Monitor performance and proactively recommend enhancements.
    • Stay current with Salesforce releases and nonprofit-focused features, implementing updates as appropriate.

Training & Documentation

    • Develop and maintain documentation for system configurations, policies, and procedures.
    • Provide onboarding, training, and ongoing support to staff to ensure effective use of Salesforce and related tools.

Integration & Automation

    • Manage integrations between Salesforce and external platforms, including but not limited to Raisin tools.
    • Implement automation to streamline fundraising operations, reporting processes, and program tracking.

Qualifications & Requirements

    • Bachelor’s degree in Computer Science, Information Systems, or related field, or equivalent professional experience.
    • Salesforce Certified Administrator strongly preferred.
    • Experience with Salesforce Nonprofit Success Pack (NPSP) and nonprofit fundraising operations required or highly preferred.
    • Minimum of three + (3+) years of Salesforce administration experience, including automation, reporting, user management, and data governance.
    • Experience leading Salesforce implementations, upgrades, integrations, or nonprofit system migrations.
    • Understanding of nonprofit fundraising metrics (e.g., donor retention and campaign ROI) and program outcome tracking.
    • Strong analytical, communication, and collaboration skills.
    • Commitment to the organization’s mission and values.

This position is based in Toronto and typically follows a hybrid work model, however, candidates based elsewhere in Canada may also be considered for a fully remote arrangement. This is a new full-time, permanent role. Additionally, Jack.org may use AI-enabled tools to support candidate screening and evaluation.
